Why supplier onboarding takes weeks

Onboarding is slow because it is a chain of external dependencies — bank verification, tax forms, insurance and screening — not a form to be filled in.

Supplier onboarding takes weeks rather than hours because most of the elapsed time is not work. It is waiting on parties outside the buying organization: the supplier itself, its bank, its insurance broker and a screening provider. Measuring the process by the number of internal steps therefore explains almost nothing about how long it actually takes.

The clock is spent in wait states

Six dependencies account for the bulk of the calendar. The supplier has to gather documents it does not keep in one place. Bank details need verification through a channel other than the one that supplied them, which usually means a callback. An insurance certificate naming the buyer as an interested party has to be issued by a broker on the broker’s own timescale. Sanctions and beneficial-ownership screening returns potential matches that a human has to clear. Internal approval sits in a queue. Only then is the vendor master record created in the ERP.

Sequential by habit, not by necessity

Most onboarding runs these steps one after another because each form asks for something the previous step produced. Few of them genuinely depend on each other. Screening needs a legal name and a country, both known at the first request, so it can run in parallel with document collection instead of after it. Bank verification is the one step that should stay last and stay strictly sequential, because it is the step fraud actually targets.

Everything collected during onboarding becomes the supplier master record, which is why that record starts decaying from the day it is created unless someone owns each field afterwards.
