Why manual RFQ processes slow procurement down
A traditional RFQ process starts from a blank spreadsheet. A buyer re-enters supplier contact details, certifications, and past performance every time a new quote request goes out, even for a supplier the team has sourced from before. That duplicate data entry slows the request down, and it disconnects the quote from anything the organization already knows about the supplier’s risk profile or diversity status.
How the RFQ model connects to one supplier record
Gainfront’s RFQ model starts from the supplier record instead of a blank form. When a buyer invites a supplier to bid, the invite pulls from the same profile the supplier used during onboarding, so certifications, risk scores, and past award history are already attached. The supplier does not re-submit information the organization already has, and the buyer does not re-key it either.
What stays connected from invite to award
Because every RFQ lives on the shared record, evaluation, diversity, and risk data move with the bid instead of sitting in separate systems. A reviewer scoring price and delivery terms sees the same supplier’s certification status and risk flags in the same view. When the buyer makes an award, that decision writes back to the record too, so the next RFQ for that supplier starts from an even more complete profile than the last one.
Itemized BOM quoting
Gainfront’s AI/ML-driven software lets organizations create, edit, and store bills of materials electronically. An itemized BOM RFQ therefore goes out with line-item quantities and specifications already attached, rather than as a spreadsheet a buyer re-keys and a supplier re-interprets, which is what makes quote comparison accurate enough to award on.
